Websites, Bookings & Apps

Online booking: patients book in a few taps, and your calendar stays in charge.

Patients who cannot book online call, wait, or go elsewhere. We build online booking that works on a phone, follows your real calendar, and collects only what is needed to schedule the visit.

HIPAA and HITECH-aligned, 42 CFR Part 2-ready. Built in from the first line of code.
Built For

Who this is for

  • Practices that still book by phone only
  • Clinics whose booking tool double-books or ignores visit types
  • Owners who want booking on the website and on Google
  • Practices unsure what a booking form should collect
  • Practices that send reminders and want the message text kept careful
How it works

Five things online booking has to get right.

Built in-house around your calendar and your practice management system.

Availability

Booking that ignores your real calendar?

A booking form that does not follow real availability creates double-bookings and calls to fix them.

Booking tied to your real calendar and practice management system where it allows. Rules cover visit type and length, such as a new patient visit and a follow up, plus provider and lead time.

Patients only see times you can actually offer.
Phone first

Patients giving up on a clunky form?

In Pew Research Center's 2025 survey, 91% of US adults owned a smartphone, and 16% had a smartphone but no home broadband (Pew mobile fact sheet). For many patients, your booking page is a phone page.

A short, fast flow with large tap targets, as few steps as possible, and a confirmation at the end.

More visitors finish booking.

Not sure what a booking form should collect?

HHS gives a clinic's appointment page as an example: an email address, or a reason for seeking care that a patient types or selects, is individually identifiable health information (HHS online tracking bulletin).

We ask for what the front desk needs to schedule the visit: a name, a way to reach the patient, the visit type, and a preferred time. Visit type is a set choice, not an open text box that invites symptoms. The booking tool still holds patient details, so it runs on vendors that can sign a Business Associate Agreement, and we sign one before we handle any PHI.

Booking stays simple and careful.
Follow-through

Booked, then no-show?

A Cochrane review of eight randomised trials found attendance averaged 78.6% with text message reminders and 67.8% with no reminder. The authors rated the evidence low to moderate quality (Cochrane, 2013).

A confirmation right after booking, reminders timed before the visit, and easy rescheduling from the same system. Message text says only what is needed to confirm the visit: the time, the place, and how to change it.

Fewer empty slots after a booking.
Google

Patients find you on Google but cannot book there?

Google's help pages say links on a Business Profile can let customers book an appointment, and that you add one by entering the URL for the button (Google Business Profile Help).

One booking page with its own address, so the same page serves your website, your Google listing, and the link in a reminder. Patients land on the booking flow instead of a general home page.

A patient who finds you on a phone can book in the same visit.

Booking that connects to the rest of your practice

Online booking works best when it connects to your calendar, your reminders, and your Google listing.

Online booking FAQ

Online appointment booking lets patients choose an available time and book a visit through your website, your Google listing, or an app, without calling the office. It should follow your real calendar and confirm automatically.

Yes. Google's help pages describe adding a booking link to a Business Profile, so a patient who finds you on Google or Maps can go straight to your booking page (Google Business Profile Help). See our Google Business Profile page.

Only what the front desk needs to schedule the visit: the patient's name, a way to reach them, the visit type, and a preferred time. A set list of visit types works better than an open text box, which invites people to describe symptoms. HHS's online tracking bulletin uses a clinic's appointment page as an example where an email address, or a reason for seeking care that the patient types or selects, is individually identifiable health information. That is why we keep the form short, and why the tools that hold the details need safeguards.

Booking can involve protected health information, so we treat the booking tool as one that holds it. We design booking to collect only what is needed to schedule, we use vendors that can sign a Business Associate Agreement, and we sign one with your clinic before we handle any PHI. Your compliance adviser can confirm what your practice needs.

HHS's FAQ says the Privacy Rule lets covered providers communicate with patients by email if they apply reasonable safeguards, such as limiting the amount or type of information in unencrypted email, and that a patient can ask for reminders by another reasonable means, such as email instead of a postcard (HHS FAQ). We keep reminder text to what is needed to confirm the visit, and we apply the same care to text messages. Your compliance adviser can confirm what your practice needs.

The evidence says they help. A Cochrane review of eight randomised trials found attendance averaged 78.6% with text message reminders and 67.8% with no reminder. It found text reminders about as effective as phone call reminders, and two studies found them cheaper per attendance. The review searched trials up to August 2012 and rated the evidence low to moderate quality (Cochrane, 2013). Your own rate depends on your specialty and your patients.

Usually, yes. We connect booking to the system you already use where it allows, and we build the booking flow ourselves when you do not have one. We check what yours supports before scoping.

Yes. Booking can offer different visit types, lengths, providers, and lead times, so patients only see appointments you actually want to offer online.

Weeks, not the many months a traditional build can take. Once the plan is agreed, you see a working prototype before you commit to the full build. Your exact timeline is fixed in writing with the scope.
