Privacy Policy

Last updated: October 1, 2026

AtlantiX Labs LLC (“AtlantiX Labs,” “we,” “us”) respects your privacy. This policy explains what information we collect through atlantixlabs.com and related communications, how we use and protect it, who we share it with, and the choices you have. It is written to be read, not skimmed.

Please do not submit protected health information (PHI) through this website or by email. Our contact form and email address are not intended for patient data. If you are a healthcare organization, we will set up a secure channel and sign a Business Associate Agreement before exchanging any PHI.

1. Who we are and what this policy covers

AtlantiX Labs LLC is a Florida limited liability company with its registered office in St. Petersburg, Florida. We provide technology services to healthcare practices and clinics in the United States. This policy applies to information we collect through atlantixlabs.com, through the email address hello@atlantixlabs.com, and when you book a call with us. It does not govern information we handle for a client under a signed services agreement; that information is covered by the agreement and, where applicable, a Business Associate Agreement (see Section 6).

2. If PHI is sent to us anyway

If protected health information reaches us through the website or by email despite the notice above, we will not use it for any purpose other than to tell you not to send it, and we will delete it or restrict access to it as soon as reasonably practicable, subject to technical limits such as email backups and any duty we have under law. We are not a healthcare provider, and this website is not a way to request or receive healthcare services. If you have a medical emergency, call 911.

3. Information we collect

Information you give us. When you use the contact form, we collect your name and email address (required), and your company name, phone number (optional), and a description of your project. When you book a call through Calendly, we receive the details you enter there, such as your name, email address, time zone, and any answers you give to scheduling questions. If you email us, we keep that correspondence and the details in it.

Information collected automatically. Our website does not use advertising trackers, retargeting pixels, or social media tracking scripts. Our hosting provider records standard server logs (such as IP address, browser type, device type, pages requested, and timestamps) for security and reliability. We use Cloudflare Web Analytics to understand aggregate traffic, such as which pages are visited and from which country. We use it because it is designed to measure traffic without cookies and without building profiles of individual visitors. We also use Google Search Console, which tells us how people find our site in Google Search; it reports on searches and pages, not on individual visitors.

Cookies and browser storage. We do not set cookies. The site stores your light or dark theme preference in your browser’s local storage, and a short flag in session storage so the intro animation plays only once per visit. Both stay on your device, are not sent to us, and can be cleared in your browser settings. Third-party services you choose to use, such as Calendly, may set their own cookies on their own pages.

Business contact information from public sources. If we contact a clinic or healthcare professional about our services, we may use business contact details from publicly available professional sources. We keep this to what is needed to reach the right person for a business purpose, and you can ask us to stop at any time.

Do Not Track and Global Privacy Control. Because we do not track visitors across websites, sell personal information, or share it for advertising, there is nothing for those signals to switch off, and we treat them as a request to keep things that way.

4. How we use information

We do not sell personal information and we do not share it for advertising. We do not currently use artificial intelligence tools to read or analyze enquiries. If that changes, we will update this policy first, and we will never put PHI into such a tool.

Email. We use your email address to reply to you and to send messages related to your enquiry or engagement. We are not currently sending marketing email. If we start, each message will identify us, include a working way to opt out, and honor your opt-out promptly, and we will update this policy.

5. Service providers and how we share information

We use a small number of service providers, each of which processes limited information on our behalf:

Each provider is governed by its own privacy policy and terms. We choose providers with reasonable security practices and share only what is needed for the service to work.

Beyond these providers, we share personal information only: with professional advisers such as lawyers and accountants who are bound to keep it confidential; when required by law, court order, or a lawful government request; to protect the rights, safety, or security of AtlantiX Labs, our clients, or others; and in connection with a merger, sale, or reorganization of the business, in which case we will require the recipient to honor this policy.

6. Healthcare clients and protected health information

For healthcare engagements, AtlantiX Labs acts as a business associate under HIPAA and the HITECH Act. We sign a Business Associate Agreement before accessing any PHI, build systems inside the client’s own cloud environment, limit access to the minimum necessary, and handle PHI only as permitted by that agreement and applicable law, including 42 CFR Part 2 where it applies to substance use disorder records. Breach notification duties for PHI are set out in the Business Associate Agreement and in the law. Our in-house team handles this work; we do not subcontract it.

We describe our approach as HIPAA and HITECH-aligned. That describes how we work; it is not a government certification, and each client remains responsible for its own compliance. This website is not a channel for PHI, and this policy is not a Notice of Privacy Practices.

7. Data retention

We keep enquiry and correspondence records for as long as needed to respond and to keep a reasonable business record. If an enquiry does not lead to an engagement, we generally delete or anonymize it within 6 to 12 months of our last communication. Records relating to signed engagements are kept for the length of the agreement plus the period required for legal, tax, and accounting purposes. Server logs are kept by our hosting provider for a short period under its own settings. Copies held in backups are removed on their normal cycle. You may ask us to delete enquiry data at any time (see Section 10).

8. Security

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold. These include encrypted transmission (HTTPS), access limited to people who need it, multi-factor authentication on our accounts, and careful selection of service providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a security incident affects your personal information, we will notify you and any regulator as required by applicable law, including Florida’s data breach notification law.

9. Children

Our website and services are intended for businesses and professionals. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will delete it.

10. Your choices and rights

You may ask us to tell you what personal information we hold about you, to correct it, or to delete it, and you may ask us to stop contacting you, by emailing hello@atlantixlabs.com. We may need to confirm your identity before acting on a request, and we will respond within the time required by applicable law, generally within 45 days. We will not treat you differently for exercising a right.

Depending on where you live, state privacy laws (for example in California and several other states) may give you additional rights, such as the right to know the categories of information we collect, to correct or delete it, to opt out of the sale or sharing of personal information, and to appeal a decision on your request. We do not sell personal information or share it for cross-context behavioral advertising. In the past 12 months, the categories of personal information we collected were identifiers and contact details (name, email address, phone number, IP address), business and professional information (company and project details), and internet activity (server logs and aggregate analytics). We collect them from you and from our service providers, for the purposes in Section 4, and disclose them only to the service providers and recipients in Section 5.

11. International visitors

Our services are directed to clients in the United States. Information you submit may be stored and processed in the United States and in other countries where our service providers operate. If you access the website from outside the United States, you understand that privacy laws there may differ from those in your own country.

12. Changes to this policy

We may update this policy as our services, tools, or the law change. The date at the top shows the latest revision. If we make a material change, such as adding a new type of tracking, we will note it clearly on this page.
